December 3rd, 2010 Update: Intuit updated version 10.0 of the product with release 5 which addresses many of the items listed in the loss of features section of this article.  Please refer to our newer blog post for the updates and improvements added within release 5.  CLICK HERE to go to this newer article. Each year Intuit updates their Point of Sale software by adding additional features.  This year, the upgrade included a major overhaul of the user interface and as a result, drastically changed the look and feel of the program.  They added some great new features, however in developing the new interface, removed many significant features that were already present in the 9.0 version.  Overall, I like the new interface and like many of the new features, however upgraders from previous versions of the product should beware, since some features have been removed.  I've segregated this post into "New Features", Loss of functionality, and To be Determined.  This listing is not meant to be a comprehensive listing, but is designed to touch on many of the major new features and loss of functionality of the new version.

New Features

  • The following three editions are now offered:
    • Free - doesn't have inventory or customer tracking (The cash register plus product has also been discontinued)
    • Basic - adds inventory, customer tracking, and many other features but does not have sales orders, work orders, or style grids.
    • Pro - this edition now includes the multi-store features previously only present in the multi-store version and also adds sales orders, work orders, style grids and many other features.
  • Single vs Multi-user - the product now includes two modes: Single-User, and Multi-User.  There is no loss of functionality between the two modes so everything that can be done in single user can be done in multi-user also.  This feature just allows single workstation stores to operate in single user, which simplifies the connection to the company file.
  • Huge interface changes.  The look and feel of the product has been drastically changed...  but we've found that the more you work with the new interface, the more appealing it is.  The new interface includes buttons along the left side to navigate around the program. (which can be customized by right-clicking)   The new interface is much cleaner and  less cluttered than the 9.0 version but will take some getting used to for current QB POS users.
  • Sticky notes - you can now enter sticky notes on the home page for a reminder.  These notes can also be shown as a list instead of as sticky notes and can be searched from the search box.
  • The Make a Sale window now includes Quick Pick Items which acts as a shortcut to items that are frequently sold.  To add an item to the Quick Pick, go to the item list and choose a Quick Pick category while editing the item.
  • The Make a Sale window also includes a sell miscellaneous item button which allows the user to sell an item that is not specifically in the item listing.  Use this button with caution though since I believe that this button will be misused and will be used to sell actual inventory items creating situation where adjustments would need to be made to on hand quantities
  • EFT Server - in the past, the EFT server was a service that could be run on any workstation but only one workstation could have the EFT server running at one time.  Each workstation would connect to that workstation to process credit cards.  With the 10.0 version, this feature is now integrated into the application itself so that each workstation uses its own application to process credit cards.  This will reduce errors that were received from multiple workstations trying to access one EFT server.  The audit report takes the place of the log file in the old EFT server. (to troubleshoot problems)
  • Search box - the search box can now be used to access help topics, as well as transactions and list entries.
  • To edit a dropdown list such as departments, picklist groups, other dropdowns, etc. you now edit these lists right from the dropdown instead of going to the particular list to edit.

Loss of functionality: (and quirky side effects from the upgrade)

  • Throughout the interface you'll find that the old interface and new interface are intermingled.  Some examples:
    • Old interface:
      • Purchase order
      • Customer Orders
      • Dashboard from reports menu
      • Vendor list
    • New Interface:
      • Receiving voucher
      • Sales receipts
      • Dashboard from Home
      • Customer list
  • No more open windows - When opening items that are still built with the old interface, these items open in a new window...  This window then needs to be closed to get back to the new interface
  • Reports - reports are still built on the old interface so you can open multiple reports at the same time, but if you need stop to run a transaction through in the new interface, you'll need to close the window along with all your open reports.
  • Switch to button - since the new interface doesn't allow multiple windows, they've added a "switch to" button that will move the user between open tasks.  When using this button, the current transaction may be put "on hold" instead of being open in the background.  This is true for sales receipts and receiving vouchers.
  • Make a Sale window (Sales Receipt)
    • Simple view has been removed, however the new interface has a much simpler look and feel already.
    • Searching for items to add to Sales Receipt - The find items button including the advanced find has been removed. I see this as a significant loss of functionality since this find button was very powerful in getting to the data needed.
    • Selecting a Customer:
      • The location is no longer shown in the dropdown so for customers with same name but different location, it will be very difficult to determine the correct customer to select.
      • Once the customer is selected, the screen does not show outstanding balance, rewards, etc. on the screen.
    • No longer a way to customize the columns.  (The sales order is in the old interface so you can customize columns here and even add or change data on the line item level.  When the sales order is converted to a Sales Receipt, these fields will not show)
    • We're no longer able to edit an item directly from the Make a Sale screen.  In previous versions, we could easily pull up details of items directly from the Sales receipt and update.
    • Sell a Miscellaneous item (listed again because of potential problems)
  • Receiving voucher
    • The old interface allowed us to select from the item list and we would be able to enter Qtys in the item list to be transferred to the receiving voucher.  (This functionality is still on the PO because PO is still on the old interface)
    • Listings of number of items and total quantity of all items on the receiving voucher has been removed from the screen.
    • No longer able to customize the columns by adding new columns or removing columns.
    • No longer able to change the date of the receiving voucher.
  • Customer screen - this has been drastically changed  using small windows that could need scrolling to see all the data.
  • Tabs removed from list elements in the new interface.  Example - in customer screen we had different tabs to see a lot of information in different sections.  In version 10, the information is squeezed onto one screen into scrollable blocks.
  • Lists in the new interface including the item list and customer list:
    • Ability to filter information has been lost.  Replaced with much less powerful predefined filter options.
    • Search function has been added to replace the find button but this insn't as powerful as the previous feature.  For instance, you may want to search only within a particular department, or within item type such as service items or non-inventory items.  This is not possible with the new search button.
    • List edit - in the old interface, you could turn this on and then be able to change everything right in the list grid.  Version 10 does not include this functionality.
    • Multiple sorting functionality has been lost in v10.   (sort on multiple columns)
    • Zoom in feature has also been removed
  • Setup interview - this has been updated to be simpler using 5 tabs to gather the most important information but significant features have been removed from the setup.  Examples of items removed from the setup interview:
    • Information on multiple stores
    • Customize features to be used such as tracking customers, shipping, styles, pictures, using sales orders, work orders, layaways. Using purchase orders, etc.
    • Only selected hardware listed.
    • Gift cards
    • QuickBooks connection setup
    • Also gives false perception that setup is complete through a message that reads "That's it, you're ready to ring up your first sale!"
  • Status bar at the bottom of screen - in previous versions, this told us more about the transaction, the price level, the logged on user, etc. but this status bar has been removed completely
  • Practice mode has been removed - please be cautious if making duplicates of your live database to use for practice purposes.  This could result in transactions entered into the incorrect file, problems with merchant services batches and many other serious problems.
  • Addons functionality removed - Previously the program would allow for 3rd party developers to write in buttons into the interface.  Many invested money into developing addons for scales, signature capture, date of birth entry, etc. but verison 10 does not include this functionality.  Anyone using addons in prior versions will not be able to use those same addons in version 10.
  • Training videos and other training materials have been removed.
  • Help has not been completely updated for the new interface.  (Might say go to the tools menu but the tools menu no longer exists, etc.)
I do expect Intuit to make significant updates to the program over the next several months and expect that many of the features listed in the loss of functionality section will be restored.  Please check back for updates on features added back.
